Every engagement starts with a diagnostic conversation — not a proposal, not a price. We need to understand what’s actually breaking before we can tell you what needs to be built.

THE PHASES
Four phases. Zero guesswork.
Every engagement follows the same proven sequence — so you always know what’s being built, when it ships, and what you’ll receive.
- PHASE 01 — DIAGNOSE
The Discovery Call and Infrastructure Audit.
The first conversation is a diagnostic session where we ask specific questions about your current stack, your operational workflows, and where you’re losing leads or revenue. By the end of that call we have enough to tell you whether an infrastructure build makes sense and what it would need to look like.
If it does make sense, we move into the full Infrastructure Audit — a forensic review of your existing systems that produces three things:
- A System State Report mapping exactly where your stack is leaking revenue
- A Revenue Leak Score prioritizing what needs to be fixed first
- A preliminary Deployment Blueprint outlining what the build would involve

3-5 business days from Discovery Call to Audit delivery.

- PHASE 02 — DESIGN
Architectural Blueprint and Scope Definition.
Once the audit is complete we know exactly what needs to be built. Phase 02 is where we turn that diagnostic into a precise build specification — the architectural blueprint that defines every component of the infrastructure before a single line of code is written.
This phase produces four documents:
- A Phased Deployment Blueprint showing exactly what gets built first, second, and third
- An EBITDA Impact Forecast with defined revenue outcomes for each initiative
- A Stack Recommendation specifying the exact platforms and middleware required
- A fixed project scope with budget tiers and defined timelines
Timeline
5-7 business days from Audit delivery to Blueprint sign-off.

- PHASE 03 — DIAGNOSE
Infrastructure Build and Load Testing.
This is where the blueprint becomes infrastructure. Our Nairobi engineering team builds directly into your existing stack — ServiceTitan, Zenoti, Clio, or whatever you’re running — following the exact specification defined in Phase 02.
Every build goes through three stages before deployment:
- Component build — individual workflows, integrations, and automation logic built and tested in isolation
- Integration testing — the full system tested as a connected whole, verifying that data moves correctly between every component
- Load testing — the system tested against real operational scenarios — peak dispatch volume, high-intake periods, deadline-sensitive workflows — to verify it holds under actual conditions
Timeline
Varies by scope. Defined precisely in the Phase 02 blueprint.
Deliverable
Deployed, tested infrastructure integrated into your live stack.
- PHASE 04 — DIAGNOSE
Continuous Monitoring and Optimization.
We don’t finish at deployment. Our team monitors your infrastructure as an active part of the 24/7 development cycle — not a monthly check-in call.
Ongoing monitoring includes:
- Performance tracking — open rates, response rates, lead capture rates, workflow completion rates monitored continuously
- Integration health checks — API connections to ServiceTitan, Zenoti, and Clio verified and maintained as platforms update
- Optimization cycles — regular review of system performance with adjustments made proactively, not reactively
- Incident response — if something breaks, our team is already working on it before you know it happened

We don’t bill for conversations or strategy sessions. Every phase of the engagement produces something specific and documented that you own — regardless of whether you proceed to the next phase.
From the Audit
- System State Report — a detailed map of your current stack, where it's leaking revenue, and where the structural weak points are
- Revenue Leak Score — a prioritized list of what needs to be fixed first based on revenue impact and technical feasibility
- Preliminary Deployment Blueprint — an outline of what the infrastructure build would involve
From Design Phase
- Phased Deployment Blueprint — exact build sequence, first through third priority
- EBITDA Impact Forecast — defined revenue outcomes for each recommended initiative
- Stack Recommendation — specific platforms and middleware required
- Fixed Project Scope — budget tiers, timelines, and defined deliverables for the full build
From the Build Phase
- Deployed infrastructure integrated directly into your live stack
- Load testing documentation verifying system performance under real operational conditions
- Handover documentation covering every component of the system
From Ongoing Monitoring
- Monthly performance report covering lead capture rates, workflow completion rates, and integration health
- Continuous system maintenance and optimization
- Incident response with documented resolution for any system failures
One important note: if you complete the Audit and decide not to proceed to the Design phase, the Audit Report is yours. You can take it to any engineering team. We’re confident enough in the quality of the diagnostic that we’re not worried about that.
